Reporting MSU Volunteers for Upcoming Insurance Renewal


Annually, the state Risk Management & Tort Defense Division requires MSU Safety & Risk Management to collect risk reporting data with regard to University volunteers. To ensure that the underwriter acknowledges the appropriate number of volunteers to MSU, each campus must report data for volunteers that are anticipated will need insurance coverage for the upcoming year. Please report the number of volunteering individuals that have provided direct service to MSU for sponsored events or activities since April 15, 2013, as volunteer activity that actually occurred can be used as a basis for predicting future activity. Please respond by Thursday, March 20th with the following:

1) Duration of the program or volunteer term (beginning and ending dates)
2) Number of volunteers
3) Estimated hours per day each volunteer contributes
4) Estimated days per week each volunteer contributes

University System volunteers who provide direct service to the university campuses are defined as; 1) all volunteers participating in policyholder sponsored and supervised volunteer activities; 2) all volunteers while travelling directly to and from the activity and home; or 3) all volunteers while traveling with a policyholder supervised group in connection with such activities.

The state's accident, death, and dismemberment Volunteer insurance policy is excess of personal insurance and covers accident, injury, medical expenses and dismemberment for volunteers of activities sponsored by the Montana University System. The policy applies to volunteers who provide direct service to the University for sponsored events or activities (excluding employees or student interns). MSU's Volunteer Policy is located at http://www2.montana.edu/policy/volunteer_policy.htm. A form should have been completed prior to each volunteer providing service to MSU. The forms are retained in your department, and MSU Safety & Risk Management will ask for the form in the event a claim is filed.
